(\u201cConversed.ai\u201d, \u201cwe\u201d) handles personal data of website visitors, business contacts, prospects, and representatives of our customers. It does not apply to end-users of the AI Agents that we build for our customers; see the explanation immediately below.<\/p>\n Controller<\/strong> Have you chatted, emailed, or called with an AI Agent from an organization that works with Conversed.ai (for example, a healthcare institution, occupational health service, or webshop)? Then this statement no<\/strong> applies to you. In that case, Conversed.ai is a processor: we process your data solely on behalf of and upon the instructions of the organization you were in contact with. That organization is the data controller and determines which data is processed, for what purpose, and for how long. Please consult the privacy statement of that organization and direct your questions and requests, such as for access or deletion, to them; we assist them in this regard.<\/p>\n The agreements regarding this processing, including the sub-processors we engage, are set out in the data processing agreement with our client. All data that we process on behalf of our clients is hosted within the European Economic Area (EEA).<\/p>\n This statement applies to:<\/p>\n On our websites, we collect:<\/p>\n We use this data to make the website work, analyze usage (Google Analytics), and promote our services to a relevant target audience on LinkedIn and Google.<\/p>\n Basis:<\/strong> necessary cookies based on legitimate interest; analytical and marketing cookies exclusively with your consent via the cookie banner. You can withdraw your consent at any time via the cookie settings on the website.<\/p>\n Retention period:<\/strong> We store website data for a maximum of 9 months; form data falls under paragraph 3.<\/p>\n Conversed.ai delivers AI Agents to organizations. To reach those organizations, we approach individuals in their professional roles, for example customer service, HR, IT, or marketing managers.<\/p>\n What data:<\/strong> name, job title, organization, business email address, business phone number, LinkedIn profile, and the content and history of our contact (emails, meeting notes, appointments).<\/p>\n Where the data comes from:<\/strong> from yourself, from your organization, from public sources (your company website, LinkedIn, the Trade Register) and via our network and events. If we contact you without you having had prior contact with us, we will inform you about this statement at the time of that first contact.<\/p>\n Basis:<\/strong> legitimate interest. We have a commercial interest in informing organizations about our services, and in doing so, we limit ourselves to business contact details, professional roles, and a relevant offer.<\/p>\n Your choice:<\/strong> you can unsubscribe at any time via the unsubscribe link in our emails, by indicating so in a conversation, or via privacy@conversed.ai<\/a>. We will add your unsubscribe request to a suppression list so that you will not be contacted again through any channel.<\/p>\n Retention period:<\/strong> until you unsubscribe, or up to 24 months after the last contact.<\/p>\n If your organization works with Conversed.ai, we process data of the employees involved in the collaboration.<\/p>\n What data:<\/strong> contact details, job title, account details for platform.conversed.ai, communication regarding the collaboration, data in contracts and invoices, and platform usage data. For the use of the platform, the privacy statement found within the platform also applies.<\/p>\n What for:<\/strong> the execution of the agreement, support, invoicing and administration, and the improvement of the platform.<\/p>\n Basis:<\/strong> performance of the agreement, legal obligations (administrative and fiscal retention obligations), and legitimate interest (product improvement, relationship management).<\/p>\n Retention period:<\/strong> for the duration of the agreement and up to 24 months thereafter; financial administration for 7 years pursuant to the statutory retention period.<\/p>\n When you apply at Conversed.ai, we process your CV, cover letter, contact details, and interview notes to assess your application. Legal basis: legitimate interest and, upon hiring, the employment contract. We retain application data for up to 4 weeks after the completion of the procedure, or up to 12 months with your consent.<\/p>\n Like our clients, we use AI in our daily work. Specifically, we use AI assistants to draft and summarize business correspondence, maintain our CRM, and take meeting notes. In doing so, business contact details and the content of our correspondence with you may be processed.<\/p>\n We have configured these tools in such a way that our data is not used to train the vendor's AI models. These tools are used exclusively for our own commercial and administrative processes. They are not used for processing data of end-users of our clients' AI Agents; that processing takes place entirely within our own platform in the EEA, under the terms of the data processing agreement.<\/p>\n When we record a conversation, such as an online meeting, we announce this at the beginning of the conversation. We store recordings and transcriptions for a maximum of 12 months.<\/p>\n We do not sell personal data. We share data with service providers who work on our behalf (processors), with parties that are independently responsible (for example, our accountant or an advertising platform), and when required by law.<\/p>\n
